Administrative Assistant to the Board of Directors ASUW JOB DESCRIPTION

JOB SUMMARY

Prepare and maintain agendas and minutes for the ASUW Board of Directors weekly meeting and Judicial meetings. Assist with general office duties as assigned.

JOB DESCRIPTION

1. Prepare Board of Directors (BOD) meeting agendas and distribute no less than 24 hours prior to scheduled meetings.

2. Attend all BOD meetings and keep written minutes of the meeting and record attendance. Following meetings, prepare the minutes for review and approval by the BOD. Distribute draft and approved copies of the minutes, including any and all attachments.

3. Attend all Judicial meetings and keep written minutes of the meeting and record attendance. Following meetings, prepare the minutes for review and approval by the Judicial committee. Distribute draft and approved copies of the minutes, including any and all attachments.

4. Maintain a file with all Judicial approved agendas and minutes, including any and all attachments from each meeting. This file should be kept current so that it can be a reference and resource station for the ASUW.

5. Maintain a file with all BOD approved agendas and minutes, including any and all attachments from each meeting. This file should be kept current so that it can be a reference and resource station for the ASUW.

6. Responsible for finding an adequate substitute if not able to attend a meeting to take minutes.

7. Assist members of the ASUW, staff, and the faculty in obtaining information from ASUW records.

8. Research special topics and organize special events as assigned by the Board of Directors.

9. Attend all ASUW training sessions, including but not limited to the ASUW Fall Orientation.

10. Maintain and inform the ASUW Personnel Director and SAO of all office hours.

11. Inform ASUW Personnel Director and SAO Adviser of missed office hours.

12. Review and adhere to conditions of employment as stated in the Student Employment Handbooks, ASUW Personnel Policy and signed ASUW Memorandum of Understanding.

13. Complete quarterly goals and evaluations as arranged by the ASUW Personnel Director.

14. Serve as a member of the ASUW Personnel Hiring Committee in the Spring to hire the new Administrative Assistant to the Board of Directors (if not applying for that position), to ensure continuity.

QUALIFICATIONS

1. Ability to take accurate and efficient notes.

2. Ability to type at least 45 wpm.

3. Organizational skills.

4. Strong oral and written communication skills.

5. Ability to work independently.

6. Must be a UW student enrolled in at least 6 credits for undergraduates, 4 for graduates, or on leave as defined by Executive Order 50.
